Follow up with a reason—not just “checking in.”

A useful follow-up helps the customer make a decision. Mention the project, offer clarification and give them an easy next step. Do not overwhelm the customer with repeated messages or promises you cannot support.

1. Same-day confirmation

After sending the estimate

Hi [Name], I sent the estimate for [project or scope]. When you have a chance, please confirm that you received it. I’m available if you would like anything clarified before making a decision.

2. Clarification follow-up

One–two business days later

Hi [Name], following up on the estimate for [project]. Is there anything you would like clarified about the work included, schedule or payment timing?

3. Decision-timeline question

When planning your calendar

Hi [Name], are you working toward a particular decision or completion date for [project]? That will help me give you accurate scheduling information if you decide to move forward.

4. Scope-change check

When the project may have changed

Hi [Name], checking whether the scope for [project] is still the same as we discussed. If anything changed, send me the update and I can review whether the estimate needs to be adjusted.

5. Schedule-availability update

Only when truthful

Hi [Name], I’m updating the schedule for [time period]. If you are still considering the [project] estimate, let me know and I can confirm the current availability before anything is reserved.

6. Close-the-loop message

Final active follow-up

Hi [Name], I’m closing the loop on the estimate for [project]. If you are still considering it, reply when you’re ready and I’ll confirm whether the scope, pricing and schedule are still current.

7. Later reactivation

After a reasonable pause

Hi [Name], you previously requested an estimate for [project]. Is that work still planned? If so, I can review the original scope and let you know what would need to be updated.

Three rules before you send

  1. Replace every bracket and verify the customer’s name, project and timing.
  2. Do not claim limited availability, discounts or urgency unless they are real.
  3. Stop following up when the customer declines or asks not to be contacted.
